Policies & Procedures

1. Confidentiality
 

Coaching relationships are private and confidential, except in cases where disclosure is required by law,
such as concerns about harm to self or others. For remote sessions please ensure you are in a quiet
private location without distractions.

2. Scope of Coaching and Crisis Policy
 

Coaching is a collaborative process that does not replace therapy, counseling, or other mental health
services. If it becomes clear that a client requires support outside the coaching scope, appropriate
referrals will be made. KLH Associates Mindset Align Coaching does not provide crisis intervention. If you
are in crisis or experiencing a mental health emergency, please contact emergency services or a licensed
mental health professional immediately.

3. Coaching Relationship and Mutual Expectations
 

Coaching relationships are based on mutual respect and professionalism. This includes maintaining open
and honest communication, honoring commitments, respecting boundaries, and fostering a supportive
and non-judgmental space for growth and development. Clients are expected to actively engage in the
coaching process, complete any recommended exercises or reflections, and communicate openly about
their progress and challenges.

4. Termination Policy
 

KLH Associates Mindset Align Coaching reserves the right to terminate the coaching relationship if a
client repeatedly fails to adhere to the policies outlined in this document. If issues arise, reasonable
efforts will be made to address and resolve concerns. However, if non-compliance persists and impacts
the effectiveness of the coaching process, the coaching relationship may be discontinued at the coach’s
discretion. In such cases, refunds will not be provided for unused sessions unless exceptional
circumstances warrant an exception.

5. Scheduling and Cancellations

Appointments are scheduled via the KLH Associates Mindset Align Coaching website. Clients are
encouraged to schedule sessions at least 24 hours in advance to ensure availability. If a client is more
than 10 minutes late to a session, the session may still end at the originally scheduled time to
accommodate other appointments.

Cancelled or missed sessions occasionally occur in any coaching relationship.  If you need to cancel or
reschedule a coaching session, please provide 24 hours of advanced notice.  Cancellations or requests to
reschedule with less than 24 hours notice will be subject to session fees, unless due to an emergency or
extenuating circumstances, which will be considered on a case-by-case basis.  If I need to cancel or
reschedule a session due to illness or emergency, I will make every effort to provide adequate notice.

6. Fee and Payment Procedures
 

Fees will be disclosed and discussed, and reasonable advanced notice will be provided if any changes are
made.  Payment is required prior to start of the coaching engagement or first session unless other
payment arrangements have been made in advance. All payments are non-refundable once the
coaching engagement has begun. If a client chooses to discontinue coaching, refunds will not be
provided for unused sessions unless exceptional circumstances arise, which will be evaluated on a case-
by-case basis.

7. Session Usage and Expiration

Coaching packages must be used within the specified timeframes. Unused sessions may not be carried
over beyond the package duration unless otherwise arranged in advance.

8. Use of Coaching Materials

All materials used in coaching sessions are proprietary and belong to KLH Associates Mindset Align
Coaching. Clients are welcome to take personal notes but are asked not to share or reproduce materials
for distribution or commercial use. Clients may retain access to coaching materials provided during their
engagement but are not permitted to distribute or use them for commercial purposes.

9. Communication Outside of Sessions

Clients may email or message for brief clarifications between sessions. However, extended discussions
or additional support may require scheduling an extra session.

10. Client and Professional Referrals

Referrals are appreciated and accepted. If you know someone who may benefit from coaching, they are
welcome to reach out directly. To maintain confidentiality, I do not confirm or discuss relationships
between clients, but I appreciate the opportunity to support more individuals in their personal and
professional growth.
